ScootBooks takes the Protection of Personal Information Act, 2013 (POPIA) seriously. This page explains how we apply each of POPIA's eight conditions for lawful processing.

1. Accountability

Scootbooks Pty Ltd is the responsible party for personal information processed through ScootBooks. Our Information Officer can be reached at info@scootbooks.co.za.

2. Processing limitation

We only process personal information that is necessary to run the ScootBooks service. Where consent is required, we obtain it from the person concerned before processing.

3. Purpose specification

We collect personal information for clearly defined purposes: collecting and reconciling driver payments, managing scooter contracts, sending transactional WhatsApp messages, and complying with tax and accounting laws.

4. Further processing limitation

We do not use personal information for new purposes that are incompatible with why it was originally collected, without first obtaining consent or relying on a lawful ground.

5. Information quality

Fleet owners are responsible for the accuracy of the driver and scooter information they upload. You and your drivers may request a correction at any time by emailing us.

6. Openness

Our Privacy Policy sets out, in plain language, what we collect, why, and with whom we share it. This POPIA page is published alongside it.

7. Security safeguards

  • Data is encrypted in transit (TLS) and at rest
  • Access to production data is restricted to authorised staff
  • Card details are handled by Paystack (PCI-DSS certified) — we never see or store them
  • We maintain access logs and review them regularly

8. Data subject participation

You and your drivers have the right to know what we hold, to correct it, to ask us to delete it where we have no lawful reason to keep it, and to complain to the Information Regulator.

How to make a data request

Email info@scootbooks.co.za with the subject line “POPIA request”. Include enough information for us to verify your identity. We respond within 30 days.

Information Regulator

If you are unhappy with how we handle your information, you may lodge a complaint with the Information Regulator (South Africa). Their contact details are available at inforegulator.org.za.
